How to Plan Your Apparel Order

Planning an apparel collection starts with more than a total order quantity. The number of designs, colours, sizes and custom details helps define the production brief. Before finalising your range, share that breakdown with your manufacturer.

At SouthWest Trade, our starting point is Flexible MOQ: tell us what you want to produce so we can discuss feasible options for your project. Quantities and specifications should be confirmed together before you commit to an order.

What does MOQ mean?

MOQ stands for minimum order quantity. When discussing it with a supplier, clarify what the quantity applies to: the whole order, each design, each colour, or a particular fabric or component. A single headline number is not a complete production agreement.

Flexible MOQ is an invitation to discuss your requirements. It should not be read as automatic acceptance of every quantity or every possible combination of designs and colours.

Break your total into designs and colours

A focused collection and a broad collection can contain the same total number of garments while creating different production requirements.

For example, concentrating your order on a few designs and colours leaves more units in each variation. Spreading the same total across many variations leaves fewer units in each. Ask your manufacturer to review the actual breakdown rather than quoting only a collection-wide total.

Include your size allocation too. Confirm how sizes can be distributed within each design and colour, rather than assuming that every size needs a separate minimum.

Discuss fabric and custom details early

Tell your manufacturer which details are essential and where you are open to alternatives. Discuss fabric composition, GSM, colour, printing, embroidery, labels, trims and packaging before settling the order plan.

Useful questions include: Can the same fabric be used across several styles? Is the requested colour already available, or does it need custom dyeing? Do any trims or labels have separate purchasing requirements? Would simplifying a detail make the proposed quantities more practical?

The answers depend on the specific project. Confirm availability, costs and production requirements before approving an alternative. For fleece garments, our guide to choosing brushed fleece explains what to include in your fabric brief.

Keep sampling and bulk production separate

Ask for sample development requirements and bulk production terms separately. A development sample helps you review the proposed garment; it does not by itself confirm the quantity, price or timing of a production order.

Before bulk approval, make sure the agreed specifications, quantity breakdown, pricing and delivery arrangements are recorded clearly.

Prepare your enquiry

Send your designs or reference images, quantities per design and colour, size breakdown, fabric preferences and customisation details. Add the delivery country and your target date.

If your range is still developing, explain your priorities. For example, tell us whether maintaining a particular fabric, offering several colours or keeping the initial range focused matters most to your brand. This makes the discussion more useful than asking for a minimum quantity alone.
